These Terms of Service apply to all media submitted to VHS Transfer Exeter for inspection, transfer, enhancement, storage, delivery, or any related services. By submitting media, you agree to the terms outlined below.
1. Media Condition & Risk
All tapes and legacy media are handled with care. However, due to the age and condition of older formats, some media may already be degraded, fragile, or damaged. While every reasonable precaution is taken, VHS Transfer Exeter cannot be held responsible for pre-existing faults, deterioration, or media that fails during playback or transfer.
2. Quality Expectations
The final digital video and audio quality is limited by the original recording. While HD Restoration & Enhancement can improve clarity, colour balance, contrast, stability, motion, frame edges and sound, the final result remains limited by the source recording. It cannot recreate missing footage or detail, fully repair severe tape damage, or guarantee true HD quality.
3. Content Responsibility
Customers confirm they own the rights to, or have permission to copy, all content submitted for transfer. VHS Transfer Exeter accepts no responsibility for copyrighted, illegal, or unauthorised material.
4. Data Retention & Storage
Digital files are temporarily stored for a limited period after delivery for backup and quality assurance purposes only. Customers are responsible for creating and maintaining their own long-term backups once files, USB drives, or downloads have been received.
5. Lost or Unclaimed Media
Any tapes, USBs, or other media not collected within 30 days of notification may be disposed of or recycled, unless prior arrangements have been made in writing.
6. Delivery & Collection
While every effort is made to meet agreed collection and delivery times, VHS Transfer Exeter cannot be held responsible for delays caused by traffic, weather, or third-party courier services.
7. HD Restoration & Enhancement Disclaimer
HD Restoration & Enhancement is an optional service using specialist software to analyse and enhance footage frame by frame, followed by manual optimisation to help achieve the best natural result while remaining faithful to the original recording. Processing may include improvements to sharpness, brightness, colour balance, contrast, noise, compression artefacts, interlacing, stability, frame edges and background audio noise where appropriate. Results vary according to the quality and condition of the source recording, and sample images or clips are illustrative only and do not guarantee an identical level of improvement.
8. Satisfaction Guarantee
If you are not satisfied with the transfer quality, please contact VHS Transfer Exeter as soon as possible. Reasonable efforts will be made to investigate and correct any issue where possible. Any refund or other remedy will be considered in relation to the affected service and the circumstances of the order. Nothing in these terms affects your statutory consumer rights.
9. Pricing & Additional Charges
Transfer charges apply per physical tape, regardless of whether playable footage is found. Each tape must be inspected, tested, and played or checked individually, so the applicable transfer charge remains payable if a tape is blank, damaged, or contains no recoverable footage.
Digital transfer pricing: £13.00 per item, plus a £15.00 Setup & Handling charge per order. The Setup & Handling charge applies once to each order, regardless of the number of items submitted.
What is included: One USB drive is included with each order as standard. A digital download can also be requested as an optional free extra. Original media is always returned; however, return postage is not included in the transfer price and is charged separately where postal return is required. Additional USB drives, DVD copies, Priority Processing, HD Restoration & Enhancement, repairs, mould remediation and extended-length or Long Play recordings may be charged separately where applicable.
Long Play (LP) recordings: VHS tapes recorded in Long Play (LP) mode with a running time of 3 hours or more require substantially longer transfer and processing times. An additional £10 charge per qualifying tape applies. This will only be charged after inspection if the tape meets these criteria, and you will be informed before any additional work is carried out.
Any additional charge identified after the media has been inspected will be explained before the additional work is carried out. Optional services, including HD Restoration & Enhancement and Priority Processing, are only charged where requested or agreed. Mould remediation and tape repairs are charged at £10 per affected tape where required and agreed. DVD copies and additional USB drives are £10 each where requested.
10. Playback Compatibility
Digital files are supplied in standard MP4 format, compatible with most modern TVs, computers, and devices. VHS Transfer Exeter cannot guarantee compatibility with all older or proprietary media players, smart TVs, or software.
11. USB & Media Warranty
USB drives and physical media are tested before delivery. Once handed over, VHS Transfer Exeter cannot be held responsible for loss, damage, or failure caused by misuse, formatting, exposure to heat, moisture, or magnetic fields.
12. Customer-Supplied Media
If a customer provides their own USB or storage device, VHS Transfer Exeter cannot guarantee its reliability or suitability and accepts no responsibility for data loss, corruption, or hardware failure related to customer-supplied equipment.
13. Privacy & Confidentiality
All submitted media is treated as private and confidential. Footage is never shared, copied, or viewed beyond what is necessary to complete the transfer, enhancement, and quality checks.
14. Cancellation & Changes
Once transfer or HD Restoration & Enhancement work has begun, cancellations or reductions in tape quantity may still be subject to charges for work already completed.
15. Force Majeure
VHS Transfer Exeter is not liable for delays or failure to perform services due to events beyond reasonable control, including but not limited to power outages, equipment failure, severe weather, or acts of God.
